AUTOMATION & SYSTEMS

Stop moving the same information by hand.

Enquiries, approvals and recurring reports should not depend on someone copying information between inboxes and spreadsheets. We map the process and build around its rules.

FOUR AREAS OF SUPPORT

Start with the work that keeps repeating.

01

Customer & client operations

Enquiries, onboarding and follow-ups need an owner and a next step. Connect intake, assignment and the client record.

02

Internal operations

Route requests, approvals and documents through agreed rules, permissions and responsibilities.

03

Reporting & information flows

Consolidate source data, define measures and establish a reporting cycle your team can maintain.

04

Targeted AI assistance

Give an assistant a bounded task, approved information and a person responsible for reviewing its output.

ILLUSTRATIVE WORKFLOW

Give every enquiry a next step.

  1. 01Enquiry
  2. 02Acknowledgement
  3. 03Client record
  4. 04Assignment
  5. 05Follow-up
  6. 06Pipeline

Missing information goes to review. A failed step alerts its owner. Duplicate enquiries are checked before another record is created.

TARGETED AI ASSISTANCE

AI, with a defined job.

01

Approved information

Use only the sources the assistant is permitted to access.

02

Defined task

Retrieve guidance, structure a document or summarise agreed material. Test the task against representative examples.

03

Human responsibility

People check outputs and remain responsible for important decisions. Escalation belongs in the workflow.

We assess suitability, access and review requirements before proposing an AI component.

SCOPE BEFORE BUILD

One process, with someone accountable.

We review normal cases, permissions and failure paths before deciding what to build. A better process or better data may be the first step.

The quote identifies dependencies, licences, maintenance and ownership. Wider platforms are not promised where a focused tool is the appropriate solution.

WHAT THE WORK LOOKS LIKE

Decisions you can follow.

A report begins with a question and an agreed definition. This example shows what needs to be specified before selecting a chart.

ILLUSTRATIVE EXAMPLE

This is an example of the format, not a client project. Your quote specifies the documents and outputs included in your handover.

REPORTING / MEASURE SPECIFICATIONExample 02
Question
How many requests remain unresolved at the reporting date?
Definition
Count distinct request IDs received by that date without a completed or cancelled status.
Check
Reconcile the count to the source register and review duplicate IDs.
Owner
Agree who maintains status definitions and investigates discrepancies.

SYSTEMS SERVICES

Support for the process you have in mind.

QUESTIONS

Before you automate

What happens when a step fails?

We define failure detection, an alert and a responsible owner. Retry rules depend on whether repeating an action could create duplicate records or other unwanted effects.

Can a person still intervene?

Yes. Approval and exception routes can return work to an authorised person. We identify which decisions should remain human.

Which processes should not be automated yet?

Processes with unclear rules, unreliable inputs or unresolved responsibility usually need redesign first. High-consequence decisions also need appropriate controls and human oversight.

Who maintains the workflow?

The scope identifies an owner and the handover requirements. Ongoing support, licence costs and change requests are agreed separately.

NEXT STEP

Describe the process you want to improve.

Start with a short summary. We review the requirements, then agree the scope, deliverables, timeline and price.
